Should You Expect Your Planner to "Negotiate" Contracts on Your Behalf?

When couples begin the wedding planning process, one of the most common questions they ask is whether their planner can or should “negotiate” vendor contracts for them. The assumption is understandable—weddings involve many moving parts, many line items, and a lot of money. It’s natural to hope your planner can help you secure the best possible pricing.
But should you expect your planner to "negotiate" contracts on your behalf? Here's the honest answer...in a word, no. At least not in the traditinal sense of "negotiation".
What Planners Actually Do
While planners aren’t haggling over prices like you might at a street market, what they do is arguably far more valuable. A planner’s role (depending on service level) is to orchestrate a financially responsible contract—one that reflects your needs, aligns with your budget, and sets clear expectations for everyone involved. Vendors charge what they charge based on their experience, demand, overhead, and market. There’s typically very little room (or need) for negotiation on the base price.
Where the Real Value Comes From
Here’s where the magic happens: relationships matter. Vendors who enjoy working with a particular planner—because they communicate well, are organized, or simply make the process easier—will often extend goodwill in the form of:
Preferred pricing
Added product or upgraded services
Flexible payment schedules
Priority booking considerations
Not because their prices are negotiable, but because mutual trust and respect make everyone’s job smoother. A planner with strong vendor relationships can often secure value that clients simply cannot access on their own.
Why Trusting Your Planner Matters
This is why choosing a planner you genuinely like and trust is so essential. When you hand over the reins and let them “do their thing,” you’re giving them the freedom to advocate for you in the way they do best—through experience, strategy, and relationships.
A great planner knows:
What you actually need (versus what looks shiny)
How to match you with the right vendors
How to prevent you from overspending
How to eliminate unnecessary line items
Where value can be added without increasing your budget
In many cases, this alone can save you thousands.
Ask About This Upfront
It’s important to note that not all planners include contract review or vendor communications in their service packages. Some planners will guide you through contracts; others may only offer this level of involvement in full-service planning.
So before signing any planning agreement, make sure you ask: “What level of contract guidance and vendor management is included?”
When you chose to Plan It With Me, we'll provide you with options to help cut costs anywhere we can. This often starts at the Partial Planning level but can be provided even with "day-of" planning. Just ask!
Bottom Line
You shouldn’t expect your planner to negotiate pricing like a lawyer or agent—but you should expect them to help you secure the smartest, most cost-effective contracts possible. Their expertise, their ability to interpret your needs, and their relationships within the industry are where the real savings happen.
When you find a planner you trust (ahem....us, if you haven't figured that out yet 😁) and allow us to support you fully, the value we bring is far greater than a discount.
